Enrollment Management

Overview


The Enrollment Management system in Bloomily helps you handle all aspects of student registration, from initial sign-up to ongoing management. This guide covers everything you need to know about managing enrollments at your center.



Viewing Enrollments


Enrollment Dashboard

Access your enrollments by clicking Enrollments in the main navigation menu. The dashboard shows:


  • Active Enrollments: Students currently registered in programs
  • Pending Enrollments: Registrations awaiting confirmation or payment
  • Waitlisted: Students on waiting lists for full programs
  • Cancelled: Previously cancelled enrollments


Filtering and Searching

Use the filter options to narrow down your view:

  • Filter by program or class
  • Filter by status (active, pending, waitlisted, cancelled)
  • Filter by date range
  • Search by student name or parent name



Processing New Enrollments


Online Enrollments

When a parent registers through your Bloomily page:

  1. You'll receive a notification about the new enrollment
  2. The enrollment appears in the Pending section
  3. Review the enrollment details
  4. Click Confirm to approve or Decline to reject


Manual Enrollments

To add a student manually:

  1. Go to Enrollments > Add Enrollment
  2. Select the program and class
  3. Search for an existing student or create a new profile
  4. Fill in enrollment details:
  • Start date
  • Payment method
  • Any special notes
  1. Click Save Enrollment



Managing Waitlists


When a program reaches capacity, new registrations are automatically added to the waitlist.


How Waitlists Work

  • Students are added in first-come, first-served order
  • Parents receive an automatic notification that they've been waitlisted
  • When a spot opens up, the next student on the list is notified


Managing the Waitlist

  1. Go to the program's Enrollment tab
  2. Click View Waitlist
  3. You can:
  • Promote a student to active enrollment when space is available
  • Remove a student from the waitlist
  • Reorder the waitlist if needed



Enrollment Status Reference


Status

Description

Active

Student is currently enrolled and attending

Pending

Enrollment submitted but not yet confirmed

Waitlisted

Program is full; student is on the waiting list

Confirmed

Enrollment approved; awaiting start date

Cancelled

Enrollment has been cancelled

Completed

Program has ended; enrollment is archived

Suspended

Enrollment temporarily paused



Payments and Billing


Payment Processing

  • Payments can be collected at the time of enrollment
  • Bloomily supports online payments through integrated payment processors
  • You can also record manual payments (cash, check, etc.)


Refunds

To process a refund:

  1. Open the enrollment record
  2. Click Payment History
  3. Select the payment to refund
  4. Choose Full Refund or Partial Refund
  5. Enter the refund amount and reason
  6. Click Process Refund



Transferring Enrollments


If a student needs to switch programs or classes:

  1. Open the student's enrollment
  2. Click Transfer
  3. Select the new program or class
  4. Choose the transfer date
  5. Adjust any payment differences
  6. Click Confirm Transfer



Bulk Actions


For managing multiple enrollments at once:

  • Bulk Confirm: Approve multiple pending enrollments
  • Bulk Cancel: Cancel multiple enrollments
  • Bulk Message: Send a message to selected enrolled families
  • Export: Download enrollment data as CSV or PDF



Enrollment Notifications


Bloomily automatically sends notifications for:

  • New enrollment confirmations
  • Waitlist updates
  • Payment reminders
  • Upcoming program start dates
  • Enrollment status changes


You can customize notification templates in Settings > Notifications.
